Position: Administrative Director

Status: Exempt, Full time

Reports to: Executive Director

Job Overview: This position oversees and implements the functions of Human Resources, Technology and Accounting functions for the Northeast Iowa Food Bank.

 

Responsibilities:

  • Oversee the paperwork functions of Human Resources including new employee paperwork, employee benefits and data tracking.

  • Oversee the technology function of the Food Bank. This includes working with consultants to ensure our systems are in good working order.

  • Coordinate and Implement new software implementation for Food Bank programs working with the chosen vendor.

  • Continually evaluate the  technology needs of the Food Bank making suggestions for continuous improvement

  • Liaison for all technology needs of the Food Bank, including email, hardware, software and other systems.

  • Develops a technology plan for the Food Bank in conjunction with directors and executive director.

  • Oversee the accounting function to ensure accuracy, proper management of all accounting systems, transaction processing and approvals, and account maintenance.

  • Responsible for developing and implementing all processes and procedures as they relate to human resources, technology and  accounting

  • Prepare monthly financial statements, financial reports, analyses and information reports

  • Coordinate and produce annual operating budget

  • Prepare for fiscal year-end financial audit

  • Coordinate and provide information for tax return (Form 990)

  • Reconcile end-of-year physical counts of inventory to the general ledger

  • Responsible for Food Bank budgeting process and all budget reporting

  • Establish and maintain appropriate internal controls and conservation of assets

  • Serve on senior management team and finance committee

  • Fulfill reporting requirements by Feeding America and other entities

  • Represent the Food Bank to financial partners, including financial institutions, auditors, financial advisors and insurance brokers

  • Provide on-going training and cross-training in accounting to develop staff and gain efficiency

  • Other duties as assigned

Qualifications:

        ·         Bachelor's degree and/or 5-10 years related experience in finance and/technology

        ·         Prior non-profit and grants reporting experience a MUST

        ·         Knowledge of accounting and technology systems

        ·         Knowledge of Microsoft Office and Internet

        ·         Ability to work independently and with staff to achieve objectives

        ·         Ability to work with diverse populations

        ·         Ability to work nights and weekends as required

        ·         Strong oral and written communication skills

 

 

Position:  Driver/Warehouse Worker                                                                    

Status: Full Time, Non-exempt

Reports to: Warehouse Manager

Job Overview:

The Pickup and Delivery Driver’s primary duties include driving Food Bank vehicles for the purposes of picking up donations and delivering products to agencies and programs.  Additional duties will include, but not be limited to, warehouse functions.

 

Responsibilities:

·          Make deliveries to local agencies and partners, ensuring food safety standards are met and providing outstanding customer service.  Accurately record mileage data.

·         Deliver and unload product at mobile pantry sites.  Maintain professional relationships with volunteers and coordinators.  Communicate challenges and opportunities to the Community Programs Coordinator.

·         Perform retail pick-up route with refrigerated truck, collecting donations from partner retailers for the Food Bank.  Maintain food safety standards, accurately track donation sources and maintain professional relationships with donors.  Communicate challenges and opportunities to the Food Solicitor.

·         Maintain fuel levels and basic cleanliness of all vehicles. Report all mechanical issues to the Warehouse Manager immediately.

·         Perform other pick-up and delivery routes as assigned.

·         Assist with warehouse operations including accurate and efficient order picking, accurate inventory counts, routine cleaning and maintenance of the facility and grounds.

·         Assist with inventory maintenance and quality control of all products.

·         Flex schedule as necessary to accommodate staffing fluctuations and organizational need to meet mission objectives.

·         Work with volunteers to ensure work objectives are achieved and volunteers have positive experiences.

·         Follow lock-up procedures ensuring building is secure.

·         Other duties as assigned.

Knowledge and Skills Required:

·         Strong oral and written communications skills

·         Ability to perform basic mathematical functions

·         Ability to lift and carry objects weighing up to 50 lbs

·         Ability to work in extreme environments of a warehouse with freezer and refrigeration units

·         Ability to work independently and with staff to achieve objectives

·         Ability to work with diverse populations including individuals of various educational, ethnic and socioeconomic backgrounds

·         Ability to work nights and weekends as required

·         Excellent interpersonal, problem solving, communication and customer service skills

·         Valid Iowa Driver’s License and must obtain CDL Class B license

·         Willingness and ability to learn sanitary food storage and handling guidelines and practices

·         Commitment to social justice and the mission of the Northeast Iowa Food Bank

 

Qualifications (Minimum):  High school diploma or equivalent. Must have or be able to obtain valid class B CDL with airbrakes endorsement and clean driving record. Minimum two years of employment with responsibility level similar to Food Bank position.

 

Position: Community Programs Coordinator                                                            

Status: Full-time, non-exempt

Reports to: Director of Programs

Job Overview:

This position assists with the planning, evaluation, development and expansion of community programs; including but not limited to: the BackPack Program, Mobile Food Pantry Program, Summer Feeding, and the Elderly Nutrition Program.  This position requires some evening and weekend hours.

Responsibilities:

·         Develop community programs locally and in the Food Bank’s 16-county service area.  Travel throughout the service area to promote and develop the programs.

·         Maintain accurate program records.

·         Develop and implement program evaluations.

·         Evaluate the need for community programs throughout the service area and develop plans to meet the need.

·         Establish collaborations with community service organizations.

·         Work with volunteer coordinator and warehouse staff to maintain inventory, inspect product, develop packing and delivery schedules for programs.

·         Provide training to new community program partners and volunteers to ensure health and safety standards for programs are met

·         Ensure that programs are incompliance with all funding source requirements, including but not limited to: United Way, foundation, and grant funding.

·         Assist with identifying, recruiting and training qualified staff, volunteers and interns.

·         Other duties as assigned.

 

Knowledge and Skills Required:

·         Strong oral and written communication skills

·         Organizational skills with strong attention to detail

·         Computer skills- Microsoft Office, Windows and internet

·         Able to work with a diverse population

·         Able to attend meetings in the Food Bank’s 16-county service area as needed

·         Able to meet deadlines

·         Able to work independently or as part of a team

·         Commitment to social justice

·         Valid driver’s license and proof of insurance

Education required:

(Minimum) BA degree in an affiliated field.
